There are a few out of the box fields which are designed to count Appointments in Reports. Some of these fields are intended to be populated using a Flow, setup during onboarding based on the client's desired report metrics. Review the out of the box Status Details and determine which Status Details should count into metrics like "Issued" and "Demoed."
Out of the box, the system will be setup as follows:
Here is an example Report where you will see the Total Appointments Set compared to Issued, Demoed and Sold.
Note: The Sales Appointment must be Resulted in order to count as Issued, Demoed or Sold.
Confirmed
If there is a Confirmed On date populated the "Confirmed" checkbox will be True.
Not Confirmed
If the Confirmed On date is blank this checkbox field will be set to True.
Canceled
If the Appointment has been Resulted and the Status Detail selected is "Canceled" this checkbox will be True.
Issued
There is an Out of the Box Flow which will check this checkbox when the Status is Ran and the Status Detail is not Null AND the Status Detail is one of the following:
- Sold
- Demoed, Not Sold
- Follow-up
- No Show
- Not Demoed
- One Leg
Keep in mind, each customer using improveit 360 might use different Status Detail values in their picklist. Because of this, each i360 client will need to establish which of their Statuses and Status Details should count a "1" in the Issued field. The improveit 360 implementation team can modify the existing Flow to check the Issued checkbox based on each client's requirements during onboarding.
When troubleshooting, always check the Sales Appointment Issued Flow and confirm which Status Details should populate as True in the Demoed checkbox.
Demoed
There is an Out of the Box Flow which will check this checkbox when the Status is Ran and the Status Detail is not Null AND the Status Detail is one of the following:
- Sold
- Demoed, Not Sold
Keep in mind, each customer using improveit 360 might use different Status or Status Detail values in their picklist. Ran
If the Appointment has been Resulted and the Status selected is "Ran" this checkbox will be True.
Set
Every Appointment in the system has a value of "1" in this field.
Sold
There are not out of the box Trigger which marks this checkbox as True anytime an Appointment is given a Status Detail of Sold.
NOTE: It is not recommended to Re-Result a Sales Appointment which is already Sold. The system will give you a message suggesting you do not change the Result of a Sold Appointment.
