Your company may want to create pre-defined messages to send using the desktop Texting Component on the Account Page. Using Texting Templates makes it faster and easier to communicate with your customers. Out of the box the Texting Component is only on the Account page. You can add the Texting Component to other object pages, see also: Add Texting Component to Object Pages.
NOTE: If your company wants text messages to be sent automatically, improveit 360 will need to setup those text messages as they are coded within a Flow automation (and do not use the templates in this Article).
Your system will include eight (8) out-of-the-box Text Templates. This Article will guide you through locating the texting templates, making modifications or cloning and creating new text templates for your staff to use.
Note: The guide above lists the Folder where each of the eight (8) Text Templates are located.
If you choose to create new Text Templates, be sure all templates are saved in the Texting Templates folder.
Accessing and Editing Texting Templates
From the App Launcher menu, go to Email Templates
Choose All Folders, then select Texting Templates
Here you should see all the out-of-the-box Texting Templates included with your improveit 360 system.
Click on the Name of the Template you'd like to Edit, then click Edit.
In this example, we want to add our company's Phone number and ask the Contact to call when they're ready to buy. To find the Merge Field for the company Phone number, click the Insert Merge Field icon in the lower right of the message body.
Next you will select where the field is located (on the related record, on the Contact record, or in your Organization's global settings). For this example, we will choose Organization and locate the Phone field. Then click Insert.
Format the message body accordingly.
Keep in mind, text messages have a maximum character limit of 160 characters. Be sure every template you create contains less than 160 characters.
Cloning Texting Templates
Cloning a template is a fast easy, way to ensure you maintain formatting and correct properties for any new texting templates you might want to create. If you already have a template that was created for use with the Sales Appointment, it's best to clone a template which is already related to that object.
From the template, click Clone.
Be sure to Name your Template something your staff will easily understand when selecting it from the Texting Component. Because the Contact does not see the Subject line, you can use the same information for Name and Subject.
Be sure you have selected the appropriate Related Entity Type and the correct Folder of "Texting Templates" which ensures you can pull merge fields from the Sales Appointment and ensures the template will be visible from the Texting Component.
Once you have created your message and inserted the appropriate Merge Fields, Save your new Template.
Your new Texting Template will be available to use from the Texting Component:
Note: Be sure that if your Template uses a Merge Field, that the field is populated on the record. For example, if you use the Sales Rep's Name in the template and there is no Sales Rep assigned to the Sales Appointment, the text message will have a Blank value where a Name should be.
